Increasing efficiency and inspiration at FedNot by using advanced natural language processing techniques

The client

Federation of Notaries (Fednot)

Fednot is the supporting organization for over 1.600 notaries and 8.000 employees, distributed over 1.140 notary offices, in terms of legal advice, office management, education, public information and IT-solutions.

The Challenge

The goal of this project is to increase the efficiency in notary offices by digitizing the wealth of knowledge inside their archives. These archives contain both text-layered documents as well as numerous scans of paperwork.

As an extra challenge, making the archived information more widely available to notaries also means taking all legislation around personal information and data privacy into consideration.

The Solution

Using advanced Natural Language Processing techniques, historic notarial acts were accurately digitized and personal information was efficiently pseudonymized.

Subsequently, ML6 built an AI solution that makes these documents searchable in an intelligent way. Through the use of search terms, keywords and filters, a user can obtain a list of documents and clauses that give him or her the most suitable examples and relevant information.

Results

The intelligent search engine enables users to swiftly scan through a wealth of documents, and thus serve as a valuable source of inspiration for drafting contracts and clauses, resulting in an enormous time and efficiency gain.

It also consolidates the collective intelligence present over all notarial offices into a single platform.
